Privacy Policy

Faidence Tutors ("Faidence", "we", "us", or "our") operates the tutoring management platform at faidence.com and onlinetutoring.faidence.com (the "Service"). This policy describes what information we collect, how we use it, how we protect it, and the choices you have.

1. Google API Services — Limited Use Disclosure

Faidence Tutors' use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, we do not use Google user data to train generalized or non-personalized AI/ML models, we do not sell or transfer this data to third parties for advertising or independent use, and we do not allow humans to read the data unless (a) you give us explicit consent for a specific message, (b) it is necessary for security investigations or to comply with applicable law, or (c) the data has been aggregated and anonymized.

2. Information We Collect

We collect the following categories of information:

  • Account information — name, email, phone number, role (tutor / tutoradmin / student / parent), profile photo, and password (stored hashed).
  • Tutoring records — sessions, schedules, attendance, payments, invoices, and student progress notes you record in the Service.
  • Messaging content — in-app chat messages you send through the Service (retained 60–90 days).
  • Google account data — see Section 3 for the specific scopes and how each is used.
  • Payment metadata — invoice numbers, amounts, and status. We do not store full payment card numbers; payment processing is handled by external processors.
  • Technical data — device type, browser, IP address, and application logs used for security, debugging, and abuse prevention.

3. Google Account Data — Scope-by-Scope

When you connect a Google account, we request only the scopes needed to deliver the features below. You may revoke access at any time via your Google account permissions page.

Google Calendar (auth/calendar.events)

Purpose: Create, update, and cancel tutoring session events, generate Google Meet video links for each session, and send calendar invites to tutors, students, and parents.

Data accessed: Only events created by Faidence Tutors on the connected calendar. We do not read your other personal or work calendar events.

Google Classroom

Purpose: Sync tutor-created courses, rosters, coursework, and announcements with the Faidence Tutors dashboard so tutors and students see a single view across both systems.

Scopes and data accessed:

  • classroom.courses — create, read, and update the courses associated with your tutoring practice.
  • classroom.rosters — read enrolled teachers and students to display class rosters and send invitations.
  • classroom.coursework.students — read and manage assignments and grades for courses linked to your Faidence account.
  • classroom.announcements — read announcements to surface them in the Faidence Tutors feed.
  • classroom.courseworkmaterials — read course materials to display them alongside sessions.

We do not request or use any Gmail scopes. Email notifications sent by Faidence Tutors go through independent transactional email providers (SMTP), not the Gmail API.

4. How We Use Information

  • Operate and improve the Service: schedule sessions, generate invoices, deliver notifications, and support tutors.
  • Send transactional emails (invoices, reminders, credit balance alerts, OTP verification).
  • Prevent fraud and abuse; investigate security incidents.
  • Comply with legal obligations.

We do not sell your personal information. We do not use your Google user data for advertising.

5. How We Share Information

Within the Service, information is shared only between related accounts (a tutor and their students, a parent and their children, a tutoradmin and their dependent tutors) as required for the feature you are using. We share limited data with the following categories of service providers under contract:

  • Cloud infrastructure and database hosting.
  • Transactional email delivery.
  • Payment processing.
  • Analytics and error monitoring (aggregated, non-identifying).

These providers are contractually bound to use the data only to provide their service to us.

6. Data Retention & Automatic Deletion

We retain account and tutoring data for as long as your account is active. Automatic deletion is triggered by capacity, not by age alone:

  • When our storage utilization reaches 90% of allocated capacity, we automatically delete records that are more than two (2) years old, oldest first, until utilization returns below the threshold.
  • While utilization stays below 90%, your data is retained indefinitely for the life of your account.
  • You may request deletion of your data at any time, regardless of storage utilization (see Section 8).
  • Homework files students upload (photos or PDFs submitted for a task) are deleted two (2) months after submission, regardless of storage utilization. The student and their parent are notified about a week beforehand so a copy can be saved. Marks, feedback and completion records are kept — only the uploaded file is removed.

In-app chat messages are deleted after 60–90 days regardless of the above. Google Calendar and Classroom data are re-fetched on demand and are not persisted long-term beyond what is needed to render your current dashboard views.

7. Data Security

We encrypt data in transit (TLS 1.2+) and at rest. Access to production systems is restricted to a small internal team, requires multi-factor authentication, and is logged. Passwords are hashed with modern algorithms and never stored in plain text.

8. Your Rights and Choices

You may:

  • Access, correct, or export your account data by emailing support@faidence.com.
  • Request immediate deletion of your account and associated data by emailing support@faidence.com. We will complete deletion within 30 days, subject to legal retention obligations.
  • Revoke Faidence's access to your Google account anytime at myaccount.google.com/permissions.
  • Opt out of non-essential emails through the unsubscribe link in each email.

9. Children's Privacy

Faidence Tutors is designed for use by tutors and their students of all ages. Where a student is under the age of 13 (or the applicable age of digital consent in their jurisdiction), a parent or guardian must create and manage the account on the student's behalf. We do not knowingly collect personal information directly from children without parental consent.

10. International Transfers

Faidence Tutors operates globally. Your data may be stored and processed in countries other than your own. We rely on standard contractual clauses and equivalent safeguards where required by law.

11. Changes to This Policy

We may update this policy from time to time. Material changes will be announced in-app or via email. The "Last updated" date at the top reflects the most recent revision.
